Client Onboarding Guide

Welcome! We’re excited to work with you and bring your event to life with cinematic video and professional audio.
This guide walks you through our process step-by-step, so you’ll always know what’s next.



Step 1 - Initial Contact

Reach out via our website, email, or phone.
Provide your event date, location, type of event, duration, and audience size.
We’ll schedule a brief phone consultation to discuss your vision, goals, and initial requirements.

Step 2 - In Person Walkthrough

After the phone call, we’ll meet you on-site at your venue.
We will: Review the space, staging, and lighting, discuss camera angles and audio setup Identify load-in locations, power needs, and any restrictions
This walkthrough ensures we fully understand your event and can design the best production plan.

Step 3 - Quote & Contract

Following the walkthrough, we’ll send you:
A detailed proposal with package options
A contract outlining all terms, services, and deliverables
To secure your date:
Sign and return the contract
Pay a 50% deposit (refundable only under specific conditions outlined in our Policy & Billing Section)
No dates are held until both are received.

Step 4 — Pre-Event Planning

4–6 weeks before: Finalize production details (camera positions, shooting locatiuons, audio inputs, crew assignments).
2 weeks before: Provide your final run-of-show, scripts, schedule and any special requests.
1 week before: Confirm arrival times, load-in instructions, and the name of your designated on-site contact.

Step 5 - Event Day (and Possible Early Setup)

Depending on your event’s size and complexity, our crew may arrive the day before for setup and testing.
If early setup is required:
We will coordinate the schedule with you and your venue in advance.
The venue must be unlocked, accessible, and ready for load-in.
Any costs for early access (venue rental, staffing, security) are the client’s responsibility.
On the official event day:
Our crew arrives 60–120 minutes before the start time if not already set up.
We finalize any last-minute adjustments and run pre-show checks.

Step 6 - Post Event

Delivery times vary based on the package you choose and the scope of your production.
All turnaround times begin after your event date and only if all required materials (scripts, music, graphics, etc.) were provided on time.|
Note: These timeframes are estimates and may vary during peak/busy seasons.
If your event falls within a high-demand period, we will provide an updated estimated delivery date at the time of booking.
Estimated Turnaround:
Basic Edit Packages
3–4 weeks after the event
Standard Cinematic Packages5–8 weeks after the event
Full Cinematic / Large-Scale Productions8–12 weeks after the event

Step 7 - Delivery

Final deliverables are provided via digital download, flash drive, or other agreed formats.
You’ll receive any agreed add-ons (trailers, highlight reels, etc.) along with your main production.

Step 8 - Staying Connected

We may share select clips or photos from your production for marketing purposes unless an NDA is signed.
