Our goal is to make your event’s video and audio production smooth, professional, and stress-free.These guidelines outline how to book,
schedule, and prepare for your production with us. Following them ensures we can allocate the right crew, equipment, and time to deliver the cinematic quality you expect.
Step 1 — Initial Inquiry:
Submit your inquiry through our online contact form or by email.
Provide basic details: event date, location, type of event, estimated duration, and audience size.
We’ll set up a brief phone call to discuss your vision and basic needs.
Step 2 — In Person Walkthrought
After the phone call, we schedule an on-site walkthrough with you at your venue or event location.
This allows us to:Review the space, staging, and lighting, camera placement and audio setupIdentify any access, power, or load-in considerations
The walkthrough ensures that both sides have a clear plan for event day.
Step 3 — Securing Your Date
After the walkthrough, we provide a final quote and contract, to secure your date, we require:
A signed contract, And a 50% deposit
No dates are held until both the contract and payment are received.
Step 2 — Scheduling Details:
Advance Booking Windows
Standard Events (concerts, school productions, corporate events): Book at least 4–6 weeks in advance.
Large-Scale Productions (multi-day shoots, festivals, national tours): Book at least 8–12 weeks in advance.
Rush Bookings (less than 2 weeks): Subject to availability and may incur a rush fee.
No Rescheduling Policy
Once your date is booked, it cannot be rescheduled for any reason.
If you are unable to proceed on your booked date, it will be treated as a cancellation.
This policy ensures fairness to all clients and allows us to maintain a reliable production schedule.
Multi-Day Events
Must be booked as a continuous block.
Lodging and travel requirements will apply if outside our local coverage area.
Early Setup
Some productions may require our crew to set up the day before the event.
This will be confirmed during the planning phase and noted in your contract.
Venue access must be arranged by the client, and any related costs are the client’s responsibility.
The “setup date” will be considered the official start date for refund and cancellation timelines.
Planning Timeline
8–12 Weeks Before — Initial consultation and contract signing.
4–6 Weeks Before — Finalize shooting locations, camera coverage, and equipment needs.
2 Weeks Before — Provide final schedule, scripts, and run-of-show documents.
1 Week Before — Confirm crew call times, load-in instructions, and point of contact.
Client Responsibilities
Ensure all filming locations have the necessary permissions for video and audio recording.
Provide accurate start/end times for performances or speeches.
Assign a liaison or stage manager to coordinate with our crew on event day.
Deposits are refundable based on the timing of cancellation as follows:
- More than 30 days before the setup date: Full refund of the deposit (minus any pre-production costs incurred)
- Between 14 and 30 days before the setup date: 50% refund of the deposit
- Within 14 days of the setup date: Deposit is non-refundable
Note: Setup date refers to the first day our crew is scheduled to arrive on-site for load-in, setup or filming, as stated in your contract
Weather-related cancellations for outdoor events are treated as standard cancellations.
All cancellations must be submiited in writing via email to be vaild
We do not offer rescheduling cancellations are final and cannot be transferred to a new date
Clients are encouraged to carefully confirm setup dates before booking to avoid fees
To ensure we deliver the highest quality production, clients are expected to allow our crew to operate without on-site micromanagement.
Once the event begins, all creative and technical decisions (camera angles, lens choices, framing, etc.) are at the sole discretion of our team.
A single designated client representative may be assigned for urgent communications or schedule updates.
Continuous interference, shot-by-shot direction, or second-guessing during filming is not permitted and may delay or compromise the production.
